We’ve recently completed stage one of a three-part roll out of our HR information system, a strategically significant project that’s got support right from our leadership. We want everyone at HASSELL to be ready to embrace the new system from day one, because we know that good information equals good outcomes.

You and your skills are what we need to help launch the talent acquisition and talent management module components of the next stage – including configuration planning, process playback and UAT processes. 

As the project manager you’re the point of contact for both internal and external stakeholders. You’re the conduit between the steering committee and our Marketing and Communications team when it comes to design and branding decisions. 

You’ll be reporting to the P&C team member who managed the implementation of phase one, and will be part of a collaborative team of P&C professionals. This is a 12-month contract

Business Support Assistant/Coordinator

The role

We are currently looking for a junior to middle level support specialist to provide administrative support for the Business Services and Business Development activities of the studio with a primary focus on:

_ Assist BD Manager with clerical work, key duties including documentation and presentation preparation, filing, database input and upkeeping, maintaining calendars and appointments, providing administrative support to internal teams.

_ Provide full range of bidding administrative support including but not limited to inquiries, commercial proposal preparation, tender submission preparation and post tender/quotation follow up.

_ Assist with translation of bid documentation

_ Carry out business development and marketing related job tasks.

_ Provide support for a range of office administration to the studio and ad-hoc as assigned

About you

_ 1-3 years’ business development and administrative support and/or proposal preparation experience in design or related industries.

_ Good attention to details and ability to use own initiative and perform duties under limited supervision.

_ Multitasking, proactive and willing to learn.

_ Excellent Mandarin and English verbal, written and communication skills.

_ Proficient in Microsoft Office suite, MS Excel / PowerPoint skills essential with strong desktop publishing.

_ In-Design skills and knowledge of Photoshop is a big advantage.

_ Experience in CRM system or quick to learn.

Assistant Accountant

The role

We are currently looking for an experienced Accounts Assistant or Accounts Payable to provide support to the UK Finance Manager and other studio stakeholders. You will provide valuable assistance in the running of the UK studio’s finances and project accounting functions as directed by the UK Finance Manager and Studio Manager.   

About you

Key skills and experience:

Essential

_Minimum of three years’ experience in Accounts Assistant or Accounts Payable
_Intermediate knowledge of a medium/large ERP system
_Strong financial knowledge
_Strong reconciliation skills
_Intermediate Microsoft Office familiarity

Desired

_Experience with Microsoft Dynamics Axapta (AX)
_Exposure to project accounting, preferably within construction industry

Key activities

Please note that periodically you may be asked to undertake activities outside of those listed below.

_Code and match creditor invoices to purchase orders, ensure approval authority and process
_Process expense claims and company credit card
_Set-up weekly payment runs for approval
_Reconcile outstanding creditors to creditor statements
_Telephone queries from creditors
_Maintenance of creditor account details
_Assisting with analysis as required
_Process/reconcile petty cash claims
_Run month end creditor reports
_Document filing and archiving
_Process access for timesheets
_Ensure studio timesheets are completed
_Assist with new project set up in AX including set up of client details
_Assist with filing of Fee Agreement files
_Assist with debt collection of project based invoices
_Assist with preparation of audit files and balance sheet reconciliations
_Assist with processing debtor invoices
